Assignment
Under the direction of the Senior Office Manager, performs miscellaneous administrative duties in support of the Planning, Zoning & Building Department, duties can change depending upon needs and priorities but generally includes administrative and clerical work, including data input. Duties will require a thorough knowledge of the substantive programs in the department and ability to exercise mature judgment.
Key Responsibilities

May provide backup for the Administrative Assistant/Permit Specialist and Permit Technician, as needed, for the Planning, Zoning & Building Department, including forwarding or directing callers and visitors to the appropriate person.

Scanning and inputting of Building, Mechanical, Electrical, Plumbing Permits, along with Planning & Zoning and Code Enforcement records into Town’s records management systems. May include preparation of paper files for forwarding to outside scanning vendor.

May provide research assistance.

Any other functions deemed essential by the Town and communicated to the volunteer by his/her supervisor or department head.
Training & Supervision

Attends general volunteer orientation with Human Resources.
- Completes department orientation on the following items:
- Phone system
- Computer system
- Scanning & records management software
- Training and supervision conducted by: IT Department, Senior Office Manager or other PZB staff, as appropriate.
Time Commitment
This would be an ongoing opportunity. Hours are flexible. Expectation is that this would be a part-time equivalent with regularly scheduled hours in order to utilize volunteer’s time most effectively.
Setting
Volunteer will work in the PZB main office. No uniform or special equipment required. Must be detail-oriented and comfortable working in a fast-paced environment. Duties may require daily contact with residents, builders, plumbers, electricians, engineers, realtors, government agencies and other town departments, boards, and committees. Contact is in person, by telephone, fax, e-mail, and in writing.
Skills or Qualifications
SKILLS PREFERRED:
- Computer competency.
- Knowledge of public records laws and best practices.
- Related experience in a municipal Planning, Zoning, Building or Code Enforcement setting.
SKILLS REQUIRED:
- Considerable knowledge of business English, spelling, punctuation, and commercial arithmetic.
- Considerable knowledge of general office and administrative procedures.

- Reference Checks and/or evaluation by former employers
- Background Investigation
- Drug Testing per the guidelines of Human Resources Policy
- Verification of education/certification credentials
- Driver’s License Checks – Volunteers are not to do the following:
- Drive Town vehicles or
- Operate Town heavy equipment

State and federal laws and regulations may subject certain volunteers to additional drug testing requirements. Any volunteer who violates the program is subject to termination.
